Microsoft Dynamics AX – We’ve Got An App For That

In conjunction with Microsoft’s commitment to “Mobility First”, Dynamics AX is extending its proven architecture with a series of mobile apps.  AX 2012 customers have an increasing need to interact with AX 2012 across a broad set of devices, and new technologies are facilitating new scenarios in which apps that provide personalized information are becoming more important for improving employees’ productivity.

These apps, currently available for Windows, Apple, and Android devices, can interact directly with AX 2012 by using the existing 2012 services framework and are largely touch enabled.

Microsoft Dynamics AX web apps include:

  • Time Entry– Time entry allows employees to capture time worked on projects simplifying this administrative task while providing businesses the opportunity to improve working capital through decreased billing cycle times.
  • Expense Management– Capturing and reconciling expenses while traveling allows organizations to implement policies more seamlessly and shorten time to get money back to employees.
  • Approvals– Approvals enables business requests like budget, time sheets, submitted expense reports and purchase requisitions to be approved by managers on the go to cut down on administrative tasks and time spent.
  • Business Analyzer– Microsoft Dynamics Business Analyzer for Windows Phone provides a dashboard where you can view and interact with Microsoft SQL Server Reporting Services (SSRS) reports without logging on to your Microsoft Dynamics ERP solution.

These applications are available in the respective app stores, free of charge. The user just needs to be licensed appropriately for the associated processes in Microsoft Dynamics AX 2012 and customer organizations need be current on their maintenance plan.

Encourage Arizona State Legislature To Vote On Aircraft Exemption Bill

The aviation industry offers many economic benefits in the state of Arizona.  In addition to wages and benefits to nearly 7,000 workers, the industry generates nearly $609 million in economic activity on an annual basis.  The Arizona legislature will soon vote on House Bill 2358 making clear aircraft used in commercial service, including aircraft operated under Part 135 of the Federal Aviation Regulations (FAR), exempt from transaction privilege and use tax.  The National Business Aviation Association (NBAA) encourages all members to support the measure which has already passed the House.

According to “Arizona Legislature Passes Commercial Aircraft Exemption,” posted on NBAA.org, this key Arizona law was originally intended to exempt all carriers of passengers and property, including Part 135 operators, from the transaction privilege and use tax.  Many Arizona charter operators have already indicated that they may need to relocate business operations from Arizona into other states that offer commercial aircraft exemptions that cover those specific Part 135 operations.  In addition, a 2012 report indicates that general aviation supports 6,890 jobs in the state of Arizona, which sustains a payroll of $261 million annually.  These Part 135 operators provide critical services, including air ambulance flights and fire-fighting support, all necessary public services to the local communities.

Automatically Tracking Use Tax in Dynamics-GP

This topic may have been posted on the internet by someone else but my clients have asked about this many times so I thought I would write a short blog on how to configure USE tax in Dynamics-GP.

What is USE tax? USE tax is the tax that the customer pays because the vendor doesn’t collect the sales tax from the customer at the time of sale. Most of the time, this is because a product is purchased out of state and shipped to the customer. Most customers track this manually and report it to the tax authority. Most customers don’t realize that you can configure Dynamics-GP to do this automatically for you.

The challenge in setting up USE tax in Dynamics-GP is that when the user enters the invoice from the vendor the amount payable can’t include the USE tax. So here are the steps to calculate and pay USE tax.

  1. We are going to set up two new tax details. To do this go to Tools->Setup->Company->Tax Details
    1. Set up the Tax Expense
      1. Enter MDTXEXP in the Detail ID field. This is to record the tax expense for the USE tax.
      2. Description will be for Maryland Tax Expense
      3. The type will be purchasing
      4. Enter a Tax ID
      5. Enter the expense account
      6. Base On will be Percent of Sales/Purchase
      7. The percentage will be .06 for six percent
      8. Save the detail
    2. Setup the Tax Payable
      1. Enter MDTXPAY in the Detail ID field. This is to record the tax payable for the USE tax.
      2. Description will be for Maryland Tax Payable
      3. The type will be purchasing
      4. Enter a Tax ID
      5. Enter the payable account. Usually it will be a tax payable account.
      6. Base On will be Percent of Sales/Purchase
      7. The percentage will be -.06 for six percent. We want this to be a negative so that it will create the credit amount.
      8. Save the detail
  2. We are now going to create the tax schedule. To do this go to Tools-Setup->Company->Tax Schedule
    1. Enter MDUSE for the Tax Schedule ID
    2. In the Available Tax Details section select both the MDTXEXP and the MDTXPAY details and insert it to the selected side.
    3. Click the Save button
  3. Now we need to assign it to the vendor. Pick a vendor you need to enter USE tax for. Go to Cards->Purchasing->Vendor
    1. Select the Tax Schedule MDUSE for the vendor. Remember to select it for each address record for the vendor as well.
  4. Now enter a sample transaction for 500.00 for this vendor. When you enter the transaction you will notice that the tax amount is zero. When you click on the distributions though you will see a debit for 6.00 for the tax expense amount and a credit for 6.00 for the tax payable account.

Search Phone Numbers Regardless of Format using PowerFind!

PowerFind allows people to be effortlessly found across multiple entities in Microsoft Dynamics CRM: Accounts, Contacts, Leads, and Campaign Responses. With an easily configurable reading pane, important information is available for each entity on a single screen.

Not only does PowerFind search across multiple entities, it searches from the beginning of the field but from within the field as well. This is especially helpful when searching for a phone number. PowerFind can search phone numbers regardless of the format they have been given. This is extremely valuable as not all users will enter in data the same.

 

1. Navigate to PowerPack.

 

2. Navigate to PowerFind.

 

3. Type the desired text in the Search Bar. In this example, 612 is being searched for across Accounts, Contacts, Leads, and Campaign Responses. PowerFind searched the phone number as if there was no format or will search within the fields configured for each entity. Make sure that all phone number related fields that you would like to have searchable are on the configured reading pane.

Dynamics Online Payment Services - First Data EMPS sign up

This article assumes that you have already configured a Microsoft Dynamics Online Payment Service and are ready to choose First Data EMPS as your payment provider.  If you need additional details on the pre-requisite, download the following document that will walk you through the setup process.

When selecting to sign up for First Data EMPS as your payment provider, you are selecting First Data to be used as a payment provider on their Nashville network. The information that was originally provided when the customer account was configured in Dynamics Online (found in the Organization Defaults) is automatically sent to First Data as a referral.  Using the contact information that is sent, First Data will then contact the Customer to finalize the setup process of their merchant account.  If you had a previous account with First Data, bring this to the attention of the First Data team to work with you on possibly using that existing account.  The merchant account setup process does not involve Microsoft and all questions should be directed to First Data support at 800-257-6147 .

You will notice that after clicking Sign up now button, Microsoft Dynamics Online redirects you to the Payment methods screen where First Data Corp will be displayed.  Using the Payment Services document linked above, the Partner will then need to activate this through their Dynamics Online Partner portal by entering in the Merchant account information received from First Data. 

Improve Cash Flow with Word Templates

Microsoft Dynamics GP includes the ability to produce professional-looking invoices that include your company logo, fonts, boxes, shading, graphics and more by using the capability referred to as Word Templates. Word Templates allow you to email documents directly from Dynamics GP – such as invoices, purchase orders and customer statements. They replace your standard Dynamics GP Report Writer generated documents.

You can save time and money by using the Word Templates because they eliminate the need for postage, letterhead and envelopes. This will increase your efficiency by allowing you to get invoices out to customers in a more timely fashion. The faster the customer receives the invoice, the quicker you may get paid.

Professional-looking invoices make a good impression and improve your corporate image. Remember – these documents are often the only documents from you that your customers see.   By including logos and/or tag lines on the invoice – you can market your company in a positive light.   You can also include your remit-to addresses and EIN’s on the Word template to facilitate efficiency and quicker payments.

You have the option of sending the documents in mass or on an individual basis. You can send a batch of invoices out together with a default email subject line. The body of the email allows mail-merge capability, so that you can personalize the contents of your email to include specific Contact Name and Company Name and replies can be directed to a specified email address within your company. The emails can include additional attachments such as product specifications or Terms and Conditions.

You must be on GP2010 or later and have Office 2007 or newer to access Word Templates. The documents that are generated use popular formats like Word and pdf.

CRM Online Spring 2015 – Immersive Excel

Microsoft recently announced the CRM Online Spring Release ‘15 and subsequently lifted the NDA around the release and therefore it’s time to start posting about all the great new features coming!

This post will cover the new Immersive Excel feature that Microsoft is rolling out.

What is it?

Immersive Excel is Microsoft’s new way to have a richer Microsoft Excel experience directly in Dynamics CRM.  You’re no longer required to export your data to Excel to be able to perform more complex analysis on it (though this functionality still remains).  You can now perform this analysis directly within Dynamics CRM.

What can it do?:

So what can the new Immersive Excel feature within Dynamics CRM do?  How close to actual Excel do I get when I use it?  Well the answer is that Immersive Excel is actually using Excel Online from within the CRM browser window.  Therefore anything you can do with Excel Online,  you can do with Immersive Excel.

This includes the ability to work with Excel Formulas directly from your list of CRM data, without leaving CRM.  You can calculate what the Commission you could make for your Opportunities, by multiplying the revenue by 10%, if the probability is at least 90%.

You can make updates to records which honor field validation (e.g., you cannot enter a string into a date field, you can only select from the available option set values, min and max values, etc.), and then click on Save Changes to CRM.  Or you can simply return back to the CRM list without saving your changes.  Immersive Excel allows you to change multiple records quickly acting like an editable grid.  However, you must click the button to save the changes before the records are updated.

You currently cannot do perform a Save As to save an Excel Doc (due to technical limitations) but you can copy/paste from the embedded Immersive Excel page to another Excel document. Hopefully this will be fixed in a future release.

Requirements

In order to make use of this new functionality, the following requirements must be met:

  • CRM Online (currently we are unaware of any plans to bring this to OnPrem)
  • Separate O365 License required (Online version of Office)
  • Export to Excel Security Role Privilege
  • Available in the Web Client only (not available for the phone, tablet, or Outlook clients yet)

Miscellaneous and Summary:

Immersive Excel is a neat new tool that will provide CRM users with an additional option to perform some more ad-hoc quick queries, reports, dashboards to analyze data on the fly.

Note that this functionality is recommended purely for “on the fly” analytics, and not for someone to save the Excel file locally.  Use Export to Excel for that functionality.

After 5 minutes, the file is regenerated per view per user. There is an indicator in the top right of the page shows when the file was generated.  Take note of this time as Microsoft doesn’t want to bombard the servers with constant regeneration, but they also don’t want the data to become stale.  Therefore if you’re using this functionality to make changes to records, remember to save early and often to make sure none of your changes are lost.

Also note that the import of the data from Excel Online will take time.  A data import async job is kicked off to perform this functionality that you can monitor to see when it completes.

errors in Payroll classes Symmetry dynamics ax 2012 r3

Today I was configuring POS on Azure test/dev environment, I got very strange errors during compilation  of classes node.

All these classes were belong to Payroll modules.

Don't write off Convergence just yet. That is the message from Microsoft Dynamics GP product managers Pam Misialek and Errol Schoenfish who wrote on Thursday that "Dynamics GP and the community will continue to be a key member of this new era of Convergence including continued content for power users and similar roles."

That message is major departure from the assumptions and rumors that have widely circulated in the partner and user communities, and it has drawn positive comments in response.

“Error in getting SID” when running Named user license count report [AX 2012]

Recently I tried running the Named user license count report and got this error.

“Error in getting SID”

From the error I know what the problem is. One of the users can not be found in Active directory.

I wrote a quick job to find me the invalid users.
