Managing Users in the Office 365 Admin Center - Microsoft Dynamics CRM Online

The Office 365 platform offers CRMOL administrators a streamlined experience when managing users. From assigning licenses to adjusting usernames, the Office 365 Admin Center provides a user-friendly hub in which administrators can maintain their CRMOL users and address their needs efficiently. This user-friendly experience is perhaps most noticeable when editing users and managing their passwords.

Users can be edited through various approaches, but the definitive method is by selecting a user from the Active Users list and selecting Edit from the right-hand options pane. It’s possible to assign or remove licenses from the selected user’s account, edit their username prefix, adjust their username domain, edit their Display Name, and update their general information. Also, user passwords can be reset in seconds by selecting Reset Password from the right-hand options pane once a user has been selected in the Active Users list.

While all of the above management abilities are available when servicing individual users, most of the same abilities are executable via bulk adjustments. To bulk edit users, an admin first needs to check the boxes of two or more users on the Active Users page. Once the desired amount of users is selected, simply select Edit like with the individual editing method. Note that, when bulk editing, edit pages are locked for linear navigation, but it’s possible to avoid inadvertently editing users by selecting Next to advance without making any changes – the default selection on each page will not alter current settings. Most information updates are straight-forward, but assigning licenses can seem complex initially.

There are three options at the top of the Licenses page when bulk editing: (1) “Retain current license assignments”; (2) “Replace existing license assignments”; (3) “Add to existing licensing assignments.” “Adding to existing license assignments” allows new licenses to be assigned without affecting current assignments. “Replace existing license assignments” allows licenses to be assigned and previous assignments to be discarded, avoiding the need to re-edit users to remove undesired license assignments. A good example of this is switching CRMOL Professional users to CRMOL Basic users, where the affected Professional users can be selected for bulk editing, and, on the licenses page, an admin can mark the radio button for ‘Replace’ and check the box for Basic licenses to make the swap with ease. Lastly, “Retain existing license assignments” ensures that no changes will be made to existing license assignments, regardless of which boxes are checked when selecting Save. “Retain” is the default selection in case the page needs to be skipped without altering license assignments.

Like with bulk editing, bulk password resets can be performed from the Active Users list. As with editing, simply check the box next to each applicable user and select Reset Passwords from the right-hand options pane. Keep in mind that bulk adjusting users is limited to a page-by-page selection method, as selecting ‘next’ to advance through the Active Users list will discard all checked boxes of the previous page. After selecting Reset Passwords simply follow the onscreen instructions to complete the task.

Please note that this is not an exhaustive rundown of an admin’s abilities in Office 365, but it should prove a useful aid in managing your CRMOL users!
