Microsoft recently released the latest version of Dynamics GP with some new features. The new release, Microsoft Dynamics GP 2015 R2, includes several enhancements and changes with improved navigation and visibility for many processes. In this post we will take a look at new Microsoft Dynamics GP 2015 R2 reporting features.
Analytical Accounting Transaction Lists
With the release of Dynamics GP 2015 R2, the amount of information available to be included as columns in the Analytical Accounting SmartLists and Excel Reports has been expanded. AA tracks a lot of information for each record, and more of this data has been included in the SmartLists and Excel Reports.
The way the AA dimension code information displays in the lists has also been improved so the lists for the AA transaction dimension code no longer have to be contained a single column. Previously, when tracking more than one dimension on a transaction in Dynamics GP, multiple lines were required in the list for a distribution entry. In GP2015 R2, SmartLists and Excel Reports have been updated to display a column for each transaction dimension, showing the code assigned for that dimension.
Display Debits before Credits
The Microsoft Connect site saw many requests for a Dynamics GP feature that could move the debit column to display before the credit column by default for account transaction reporting options in which credits previously displayed before debits. That feature has now been added and applies to SmartLists and Excel Reports, as well as the database tables and views on which the reports are based.
Default SmartList Favorites Visibility
SmartList Favorites effectively save time and streamline reporting processes. But users frequently accept the default setting for who the list will “visible to” when setting up a favorite list. The default option in the Visible To drop-down list in previous versions was “System” which means everyone could see the favorite list when the default was not changed. When this is repeated many times, the list of favorites becomes large and turns into a clutter mess that is difficult for system administrators to clean up. Admins now have the option to set up a new default so that Favorites are Visible to the User ID who creates them. In the System Preferences window there is now a Default SmartList Visibility drop-down list, select User ID.
Combine General Ledger Inquiry
The inquiry windows have been consolidated in the new Microsoft Dynamics GP 2015 R2 General Ledger. It is now possible for users to view open and historical information in the same window for Summary Inquiry, Detail Inquiry and for Account Summary. Any “GoTo”s or drill backs will now go to the single window instead of the user picking open or history.
Historical Received Not Invoiced Report
A new SSRS Report based off the current “Received Not Invoiced” report has been added with new functionality with a cutoff date based on transaction date or GL Post Date. This allows users to use the report for Historical purposes. Now users can see what was received into inventory but not invoiced yet as of a specific date.
Mask Employee SSN on Reports
This new feature allows the Payroll Administrator to mask the employee social security numbers on a predefined list of payroll reports. When selected on a report, employee social security numbers field on the report will appear as XXX-XX-XXXX mask.
SmartList Designer View Workflow Type
Within SmartList Designer a user can send a SmartList through workflow to create a SQL view based on the SmartList query. An active workflow must be built in order for the SQL view to go through the approval process. Navigate to Administration series within the Workflow Maintenance window to set up SmartList workflows.
This SQL view can be used outside of GP for such purposes as creating reports using SSRS or Power BI reports in Excel. The view will also allow the user to publish the SmartList as a refreshable Excel report from inside of Dynamics GP.
