As one of the go-to reporting tools for Microsoft Dynamics GP, SmartList streamlines the reporting process and allows users to quickly and accurately pull the exact information they need for their specific role. Microsoft released Dynamics GP 2015 R2 this month with a couple of pretty cool updates to SmartLists.
We will be covering all of the Dynamics GP 2015 R2 enhancements over the coming weeks, but for now let’s focus on changes to SmartLists.
SmartList Favorites Default Settings
When creating a Favorites list, users have the option to choose who is able to view the list, but users often choose the default setting, “System”, which allows all users to view the list. When this gets repeated over and over, it creates a large list of SmartList Favorites that all users see. Large lists are difficult for system administrators to manage and clean up and they create unnecessary friction in the reporting process. One of the new updates to SmartLists allows system administrators to redefine the default selection for new SmartList Favorites by Company, User Class, or User ID. Choosing User ID will only allow the creator of a favorites list to view it.
Under the System Preferences window, find the Default SmartList Visibility drop-down list. Select an option here to change the system default in the “Visible To” drop-down list that users see when adding a new Favorites List.
SmartList Designer Create View
SmartList Designer allows users to send a SmartList through workflow in order to create a SQL view based upon a SmartList query. This SQL view can then be used in non-GP applications for tasks like creating reports using SQL Reporting Services or Power BI reports in Excel. The view also allows users to publish the SmartList as a refreshable Excel report from inside of Dynamics GP.
One active workflow will need to be setup in order for the SQL View to go through the approval process. SmartList workflows can be setup from the Workflow Maintenance window under the Administration series.
